Job Summary

The Executive Assistant to the Lead Pastor plays a vital role in supporting the Lead Pastor by providing high-level administrative, organizational, and relational support. This position exists to help the Lead Pastor maximize leadership and ministry impact by managing key details, processes, and communications. The Executive Assistant also ensures a smooth Sunday experience for the Lead Pastor and helps cultivate a culture of excellence and hospitality.

ESSENTIAL DUTIES & RESPONSIBILITIES

Executive Support & Calendar Management

·Manage the Lead Pastor’s calendar including meetings, events, speaking engagements, and travel.
·Coordinate and prioritize scheduling requests while protecting time for sermon prep, rest, and vision planning.
·Serve as a liaison between the Lead Pastor and staff, volunteers, and external contacts.
·Prepare necessary materials for meetings, events, and speaking engagements.

Sunday Morning Support

·Assist the Lead Pastor on-site each Sunday by ensuring schedules are followed, needs are anticipated, and transitions are smooth.
·Act as a liaison between the Lead Pastor and teams (Production, Worship, Kids, etc.) to ensure readiness and alignment.
·Help host special guests or ministry partners when present on Sundays.

Meeting Coordination & Follow-Up

·Schedule and organize internal and external meetings, including leadership team meetings, coaching sessions, and 1-on-1s.
·Prepare agendas, capture notes, and track action items for key meetings.
·Follow up with appropriate staff/team members to ensure deliverables are met.

First-Time Guest Process Oversight

·Oversee and manage the follow-up process for first-time guests, ensuring timely and intentional communication.
·Collaborate with hospitality, connections, and communications teams to create a seamless and warm guest experience.
·Maintain accurate data tracking and reporting on guest engagement and follow-up steps.

Office & Communication Support

·Help manage office communication on behalf of the Lead Pastor including email responses, correspondence, and scheduling.
·Assist with administrative needs related to church-wide events, campaigns, and staff coordination.
·Maintain confidentiality and discernment in all areas of communication.

Qualifications

·A strong commitment to the mission, values, and vision of The Becoming Church.
·Highly organized with exceptional time management and attention to detail.
·Excellent interpersonal and communication skills, both written and verbal.
·Ability to maintain confidentiality, discretion, and professionalism.
·Proven ability to multitask, anticipate needs, and take initiative.
·Comfortable working in a fast-paced and flexible church environment.
·Proficient with digital tools such as Google Workspace, Planning Center, and basic project management platforms.
·Previous experience in administrative support or ministry assistance preferred.

Schedule & Expectations

·Part-time role: 20 hours per week.
·Must be available on Sunday mornings and during key church events.
·Flexible scheduling during the week with in-person meetings required.
·Must be currently located in the Huntsville/Madison area.
